1. Policy Statement
TRM Flex Ltd ("TRM Flex") is committed to safeguarding the welfare of all individuals who interact with our platform, including workers, event attendees, community members, and any children or vulnerable adults present at events coordinated through our platform.
We recognise our duty of care and take all reasonable steps to ensure our platform, processes, and community standards support a safe environment for everyone.
2. Scope
This policy applies to:
- All self-employed workers registered on the TRM Flex platform
- Clients booking workforce or event services through TRM Flex
- Attendees at events coordinated via TRM Flex
- Members of community portals operated through TRM Flex
- Suppliers engaged through the TRM Flex marketplace
- TRM Flex staff and administrators
3. Key Principles
- Prevention: We take proactive steps to minimise safeguarding risks through verification, compliance processes, and platform design.
- Protection: We respond promptly and appropriately to any safeguarding concerns raised.
- Proportionality: Our safeguarding measures are proportionate to the risks involved in each context.
- Partnership: We work with clients, workers, and relevant authorities to maintain safeguarding standards.
- Accountability: All safeguarding actions and decisions are logged and auditable.
4. Worker Verification
All workers on the TRM Flex platform undergo identity verification and right-to-work checks before they can be deployed to shifts. Workers are self-employed contractors and are responsible for maintaining their own compliance obligations.
Where clients require enhanced checks (such as DBS disclosure) for specific events or venues, this requirement should be communicated through the platform. TRM Flex supports the documentation and tracking of such requirements.
DBS Checks
If your event involves regulated activity with children or vulnerable adults, you must notify TRM Flex so that appropriate DBS-checked workers can be assigned. Contact us at safeguarding@trmflex.com to discuss requirements.
5. Events Involving Children or Vulnerable Adults
Clients are responsible for informing TRM Flex if an event involves children, young people, or vulnerable adults. Where such events are identified:
- Additional compliance requirements may be applied to deployed workers
- Clients must ensure appropriate supervision and safeguarding measures are in place at the venue
- TRM Flex may require evidence of enhanced background checks before confirming worker deployment
6. Community and Member Portal Safety
Community and member portals operated through TRM Flex include built-in safety features:
- Profile visibility controls allowing members to manage their personal information exposure
- Content moderation capabilities for community administrators
- Reporting mechanisms for inappropriate behaviour or content
- Multi-tenant data isolation ensuring members only access authorised content
7. Reporting Concerns
Anyone who has a safeguarding concern should report it immediately. Reports can be made:
- By email to safeguarding@trmflex.com
- Through the platform's support channels
- By contacting the event organiser directly for event-specific concerns
All reports are treated confidentially and investigated promptly. TRM Flex will cooperate with relevant authorities where required.

Safeguarding-related data is handled in accordance with our Privacy Policy and Data Processing Addendum. Personal data collected for safeguarding purposes is processed on the basis of legitimate interest and legal obligation, and is retained only for as long as necessary.
9. Training and Awareness
TRM Flex operations staff receive safeguarding awareness training. Workers deployed through the platform are encouraged to complete safeguarding training relevant to their roles and the events they attend.
10. Review
This policy is reviewed annually or following any safeguarding incident. The most current version is always available on this page.
